This charter governs the listing of professional pest controllers on Vespa Alert™ Belgium. It applies to interventions related to Vespa velutina (Asian hornet) and to the associated communication.

Scope and definitions

Vespa Alert™ Belgium is a reporting and monitoring platform designed to make information easier to understand (statuses, map, indicators) and to facilitate contact with professionals. It does not replace official systems (regional/federal) or operators’ legal obligations.

The “Partner” listing is a visibility service. It does not guarantee any volume of interventions.

Definitions: “Partner” = a company that accepts this charter and has been validated by Vespa Alert™. “Intervention” = neutralisation/treatment of a suspected or confirmed Asian hornet nest.

Core principles

  • Safety: the protection of people takes priority over all other considerations.
  • Correct identification: no treatment without reasonable verification of the species.
  • Proportionality: method adapted to the context (height, access, footfall, season).
  • Transparency: clear communication, price announced in advance, no hidden fees.
  • Environmental responsibility: limited use of biocides, authorised products, waste management.
  • Traceability: minimum contribution to information feedback (mapping, evidence, date).

Safety and risk management

Minimum requirements

  • Appropriate personal protective equipment (PPE) in good condition.
  • Securing the area: safety perimeter, informing occupants, keeping third parties at a safe distance.
  • Risk assessment (height, access, neighbourhood, allergies, schools/public places).
  • Refusal to intervene if safety conditions are not met (or postponement/alternative solution).
Alignment with your form
  • If you indicate > 8 m: have suitable equipment (lift/rope access/pole) or refer to an equipped operator.
  • If you offer “emergency / weekend / evening” services: specify the conditions and any possible surcharges.

Intervention methods and environment

Prior identification

  • Check the species (Asian hornet vs European hornet / wasps), using photos and/or an on-site visit.
  • Avoid destroying non-target species and limit the impact on biodiversity.

Biocides and compliance

  • Use biocides only when necessary and when alternatives are not sufficient.
  • Use only authorised products and comply with the applicable regulations.
  • Limit contamination risks (soil/water) and manage waste/materials in accordance with the rules.
Objective: neutralise effectively while minimising the impact on beneficial species and the environment.

Transparency and pricing

  • Price announced before the intervention (or quotation if access/height is uncertain).
  • Clear explanation of what is included: travel, neutralisation, possible removal, report, follow-up.
  • Explanation of surcharges: emergency, height, lift, difficult access, time slots.
  • Compliant invoicing with no unjustified extra charges.
Consistency with price ranges
  • The displayed ranges must reflect actual practice (not misleading information).
  • If the range is exceeded, the reason must be communicated (access, equipment, constraints).

Traceability and cooperation

  • Contribute to mapping and monitoring: confirmation, date, municipality/province, nest type, indicative height.
  • On request, provide a brief report: description + 1–2 photos (before/after) if possible.
  • Respect local coordination in the case of a public contract / municipal system.
  • When neutralising an unlisted nest: encourage/ensure reporting (Vespa Alert or competent official platforms).
Traceability is essential: it supports prevention, prioritisation and pressure analysis.

Professional data and GDPR

The professional information submitted via the form (contact details, areas, options) is used to: (1) process the membership request, (2) publish the partner directory if validated, (3) enable contact.

  • The partner may request the correction or deletion of their directory data.
  • Vespa Alert undertakes not to publish data that is not necessary for the purpose of putting people in contact.
  • The partner undertakes to use data received via the platform only to process the request (no misuse or abusive reuse).

Acceptance of the charter on the form constitutes a commitment to all these points.

Use of the “Vespa Alert Partner” label

  • The label may only be used if the partner has been validated and listed.
  • It is prohibited to imply official validation by a public authority.
  • Misleading use is prohibited: false promises, misleading prices, false availability.
  • In the event of removal/suspension: immediate cessation of use of the label and associated visuals.

Membership, control and removal

Membership

  • Accept the charter without reservation.
  • Provide the requested information (company number, contact, areas, options, indicative pricing).
  • Declare the existence of any public contract and its scope (if applicable).
  • Hold professional civil liability insurance (recommended).

Suspension / removal

In the event of serious or repeated breach, Vespa Alert may:

  • request explanations and corrective measures,
  • temporarily suspend the listing,
  • permanently remove the partner in the event of persistent breaches.
Suspension/removal aims to protect citizens and the credibility of the network. Where possible, a correction phase is proposed before final removal.

Contact and charter updates

The charter may evolve (recommendations, practices, regulations, field feedback). In the event of a major update, a new version is published and may require renewed acceptance.
